4. Club Policies - overall


Membership

These are the Terms of Membership (which apply to all members).  All members are bound by the articles of association of the Company (see below) and agree to comply with all of the Company's rules, regulations and codes.

The Match & Tournament Fees Policy explains what is covered by the membership fee and what additional fees may be payable for specific outdoor tournaments or for indoor hockey.

Constitution
The club incorporated in 2017.   Members of the club are members of Old Loughtonians Hockey Club Limited (the "Company") and agree to guarantee the liabilities of the Company up to the sum of £1.00.

The current directors of the Company are Richard Higgins (President), Cindy Falconere (Welfare and Safeguarding) and Phillip Wheater (Chairman). The Company secretary is Peter Kempe.

The Company is a Community Ammateur Sports Club.

The Company has a wholly owned subsidiary called Old Loughtonians Services Limited which acts as the operating company for the club.

Club policies
The Company is affiliated with England Hockey and complies with and follows England Hockey guidelines on policies and procedures.

Code of conduct

All members agree to follow the club's Code of Conduct when becoming a member.

Safeguarding

The club's  Safeguarding Policy applies to all members and is of especial importance to our Colt and Mini sections.

The club follows England Hockey guidelines relating to the use of safety equipment.  The Safety Equipment Policy explains the guidance and stresses the need for members to take personal responsibility for their own safety and that of their children.

The club also has a separate policy which applies to Colts Playing Adult Hockey.

The Club Equity Policy statement adopts the England Hockey best practice.

All volunteers and those employed to work with children must complete and submit a Role Acceptance Form before working with children.

Selection and reporting and social publications

The club follows its  Web-user guide  when publishing any information.  This email guide explains how to send a group email from the website.  These Support Notes are for the benefit of our volunteers.

Player expectations

The club is all inclusive and players join and play for the club and not for individual teams within the club. The club has high expectations and these are enshrined in the club's Expectations Policy.

Privacy

The club only collects and keeps data for specific purposes as required in accordance with the General Data Protection Regulations.  This is set out in the club's Privacy Policy .

Branding and kit

The club has a distinct image and the club's Brand guidelines should be followed whenever the club logo or other branding is used.

The club also has a kit policy which apllies to all club playing kit.

Forms
Match fees are not normally payable for league matches but are payable for some cup matches and  tournaments.  This Match Fee Template and Player Requirements form is to be used when a match sheet needs to be returned to the club office with fees collected.  The form also covers selection policy and eligibility.

Policies are reviewed regularly in accordance with our Policies Review Policy.
